ADMINISTRATIVE MANAGER

QUALIFICATIONS 

Green Heart Foods seeks an organized and detail-oriented team player to fill the position of Administrative Manager at our San Francisco Headquarters. The ideal candidate is a self-starting, problem-solver who completes projects efficiently and enthusiastically. With clear communication, both written and oral, the Administrative Manager will be articulate and jovial. This person is one who seeks continuous improvement and takes initiative to prioritize and execute in a timely fashion. The Administrative Manager deftly handles a variety of tasks that they see through to completion — an individual of the highest personal integrity.

RESPONSIBILITIES

Office Management

  • Point person for curating the vibe of GHF Headquarters
  • Lead ambassador for all office visitors and phone inquiries
  • Coordinate solutions that arise out of day to day operations
  • Manages basic tech needs, organization, supplies, and overall cleanliness of the space

Accounts Payable & Accounts Receivable

  • Manage Accounts Payable (make sure incoming invoices are handled appropriately and paid in a timely manner)
  • Manage Accounts Receivable (ensure clients receive invoices on time and follow up with past due payments)
  • Collaborate with our Accounting team on ad hoc issues with payments

HR & Business Administration (including but not limited to):

  • Maintain HR systems such as attendance, hiring flow, and contact lists
  • Execution of biweekly payroll
  • Help shape a positive company culture through role model behavior that is inclusive and embraces feedback
  • Serve as point person for corporate administrative tasks (e.g. applying for business insurance and tax filings)
  • Additional project management as needed

 

QUALIFICATIONS

  • 2+ years of administrative, office, or project management experience
  • Demonstrated ability to turn around projects with detail, timeliness, and accuracy
  • Must be able to work flexibly and quickly with a positive attitude
  • Competent with current office-related technologies
  • Bachelor's degree preferred
  • Ability to lift 40lbs Schedule
  • 8:30AM to 5:00PM, Monday through Friday
